NextGen Logic ("we," "us," or "our") operates the website nextgenlogic.ai and provides AI automation services for service businesses. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our services, visit our website, or interact with our AI-powered systems including voice calls, SMS messaging, scheduling tools, and financial reconciliation services.

By using our services, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use our services.

1. Information We Collect

Information You Provide Directly

  • Contact Information: Name, phone number, email address, and mailing address.
  • Account Information: Business name, login credentials, and service preferences.
  • Payment Information: Billing details processed securely through Stripe. We do not store your full credit card number on our servers.
  • Communications: Messages you send via SMS, email, or other communication channels, including the content of those messages.
  • Financial Account Data: If you choose to use our bookkeeping or reconciliation features, you may connect your bank, credit card, or other financial accounts through Plaid Inc. We receive account balances, transaction history, account and routing numbers (where authorized), and account metadata from Plaid. We do not receive or store your online banking credentials — those are handled exclusively by Plaid.

Information Collected Automatically

  • Voice Call Recordings: When you interact with our AI voice assistant, calls may be recorded for quality assurance, service delivery, and training purposes. You will be notified at the start of any recorded call.
  • SMS Message Logs: Records of text message interactions with our AI messaging system, including message content, timestamps, and delivery status.
  • Service History: Appointment records, job details, service requests, invoices, and payment history.
  • Device and Usage Data: IP address, browser type, operating system, and general usage patterns when visiting our website.

2. How We Use Your Information

We use the information we collect to:

  • Provide and improve our services: Appointment scheduling, service coordination, billing, and customer communication.
  • AI-powered interactions: Deliver intelligent voice and text-based conversations for booking, support, reminders, and service updates.
  • Process payments: Securely handle invoicing and payment transactions.
  • Send service communications: Appointment confirmations, reminders, status updates, estimates, and follow-ups via SMS, email, or voice call.
  • Maintain records: Keep accurate service history for your account and for business operations.
  • Improve our AI systems: Analyze interactions to enhance the accuracy, reliability, and helpfulness of our AI assistants.
  • Comply with legal obligations: Meet applicable legal, regulatory, and contractual requirements.

3. SMS and Voice Communication

By providing your phone number and opting in to our services, you consent to receive autodialed or prerecorded SMS text messages and/or AI-powered voice calls from NextGen Logic related to your service appointments, account updates, reminders, and other operational communications.

  • Message Frequency: Message frequency varies based on your service activity. You may receive multiple messages per week related to appointments, reminders, invoices, and service updates.
  • Message and Data Rates: Message and data rates may apply. Check with your wireless carrier for details about your messaging plan.
  • Opt-Out: You can opt out of SMS messages at any time by replying STOP to any message. After opting out, you will receive a single confirmation message. You will no longer receive text messages from us unless you re-subscribe.

  • Carriers: Supported carriers include all major US carriers. Carriers are not liable for delayed or undelivered messages.
  • No SMS Data Sharing: We do not sell, rent, or share your phone number or SMS opt-in data with third parties for their marketing purposes. SMS consent information is not shared with or sold to any third parties or affiliates for marketing or promotional purposes.

4. Third-Party Services

We use the following third-party service providers to operate our platform. Each has its own privacy policy governing how they handle data:

  • Twilio: Powers our SMS messaging and phone communication infrastructure. Twilio Privacy Policy
  • Vapi: Powers our AI voice call assistant. Vapi Privacy Policy
  • Stripe: Handles all payment processing (PCI DSS compliant). Stripe Privacy Policy
  • Google (Gmail/Workspace): Used for email delivery. Google Privacy Policy
  • Supabase: Provides secure cloud database hosting. Supabase Privacy Policy
  • Anthropic (Claude): Provides the AI language model that powers our assistants. Anthropic Privacy Policy
  • Plaid: Powers secure bank and financial account connections for our bookkeeping and reconciliation services. Plaid End User Privacy Policy
  • Intuit (QuickBooks Online): Accounting software integration for bookkeeping, transaction categorization, and financial reporting. We access your QuickBooks data only with your explicit OAuth authorization and only to provide our bookkeeping services. Intuit Privacy Statement

We only share the minimum information necessary for each provider to perform its function. We do not sell your personal information to any third party.

4a. Financial Data and Plaid

When you use our bookkeeping or reconciliation features, you may choose to connect your financial accounts (such as bank or credit card accounts) to our platform through Plaid Inc., a secure financial data network used by thousands of financial applications.

  • How it works: You authenticate with your financial institution through Plaid's secure interface. NextGen Logic never sees or stores your online banking credentials — those are handled exclusively by Plaid.
  • What we receive: Account balances, transaction history (date, amount, merchant, category), account and routing numbers (where authorized), and account metadata. We receive this data only for the accounts you explicitly connect.
  • How we use it: Financial account data is used solely to provide bookkeeping, reconciliation, categorization, and financial reporting services to you or your accounting firm. We do not use financial data for advertising, do not sell it, and do not share it with third parties beyond what is necessary to provide the service (e.g., syncing reconciled transactions to your accounting software such as QuickBooks Online or Xero).
  • Your consent: Connecting a financial account via Plaid is always optional and requires your explicit authorization through the Plaid Link flow. You may disconnect any account at any time by contacting evan@nextgenlogic.ai or using the in-app disconnect option where available.
  • Plaid's role: Plaid acts as a data transmission provider and has its own privacy practices. Your use of Plaid is also governed by Plaid's End User Privacy Policy.
  • Deletion: You may request deletion of your financial data at any time, subject to legal retention requirements (e.g., tax recordkeeping). See Section 5.

4b. Accounting Software (QuickBooks Online / Xero)

When you connect your accounting software to our platform, we access your accounting data to provide automated bookkeeping services.

  • How it works: You authorize access through your accounting provider's secure OAuth flow. NextGen Logic never sees or stores your accounting software login credentials.
  • What we access: Bank transactions, chart of accounts, invoices, bills, contacts, and financial reports within your connected company file. We access only the data necessary to provide our bookkeeping services.
  • How we use it: To categorize transactions, reconcile bank feeds, generate financial reports, and maintain accurate books on your behalf. We do not use your accounting data for advertising or sell it to third parties.
  • QuickBooks Online: Access is governed by your authorization through Intuit's OAuth 2.0 consent flow. You may revoke access at any time from your QuickBooks account settings or by contacting us. See Intuit's Privacy Statement.
  • Xero: Access is governed by your authorization through Xero's OAuth flow. You may revoke access at any time. See Xero's Privacy Policy.
  • Disconnection: You may disconnect your accounting software at any time by contacting evan@nextgenlogic.ai. Upon disconnection, we will revoke our access tokens and cease accessing your accounting data. Previously synced data is retained per our data retention policy below.

5. Data Retention

  • Account and service data: Retained for the duration of your active service relationship and up to 3 years afterward.
  • Voice call recordings: Retained for up to 90 days.
  • SMS message logs: Retained for up to 1 year.
  • Payment records: Retained as required by tax and financial regulations (typically 7 years).
  • Financial account data (Plaid): Retained for the duration of your active service relationship. Upon disconnection of a financial account, transaction data is retained as required by tax and financial regulations (typically 7 years) for reconciliation and audit purposes, unless you request earlier deletion and no legal obligation requires its retention.
  • Deletion requests: Contact evan@nextgenlogic.ai. We will process your request within 30 days, subject to any legal retention requirements.

6. Data Security

We take reasonable administrative, technical, and physical measures to protect your personal information, including encrypted data transmission (TLS/SSL), secure cloud hosting, and access controls. No method of electronic storage is 100% secure, and we cannot guarantee absolute security.

7. Cookies and Tracking

Our website uses only essential cookies necessary for basic site functionality. We do not use advertising cookies, tracking pixels, or third-party analytics cookies.

8. Children's Privacy

Our services are not directed at children under 13. We do not knowingly collect personal information from children under 13. If we learn that we have, we will delete it promptly. Contact evan@nextgenlogic.ai if you believe a child has provided us with personal information.

9. Your Privacy Rights

  • Access the personal information we hold about you.

  • Request deletion of your personal information.
  • Opt out of SMS and voice communications as described in Section 3.

California Residents (CCPA/CPRA)

  • Right to Know: Request details about the personal information we collect and share.

  • Right to Correct: Request correction of inaccurate information.
  • Right to Non-Discrimination: We will not discriminate against you for exercising your rights.
  • No Sale of Personal Information: We do not sell your personal information.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will revise the "Last Updated" date at the top. Continued use of our services after changes constitutes acceptance of the updated policy.
